The Best Cold Email Workflow for personalized videos

If you send personalized videos in your cold emails without a proven workflow, you will:

  • Burn mailboxes
  • kill deliverability
  • Miss hundreds of opportunities
  • Get ghosted by prospects
  • Waste time on follow-ups

I’ve used personalized videos for the past three years, booked thousands of meetings with them, and even built a SaaS (Vinna) that lets you create personalized videos automatically.

So when it comes to video outreach, I would say I’ve earned the right to call myself an expert.

If you’re using videos or thinking about using videos, watch my recent video about my workflow.

Objective:

To effectively use personalized videos in email outreach to increase engagement and conversion rates.

Key Steps:

  1. Initial Email Sequence:

    • Ask for permission to send a personalized video about your strategy.

    • Example of copy: “Hey, interested in hearing your thoughts on a tool we’re creating for smartly and instantly users. Can I send over a 60-second video for your review?”

    • If permission is granted, mark the recipient as interested and move to the first sub-sequence.

  2. First Sub-Sequence:

    • Send the personalized video followed by five follow-up emails.

    • Regardless of response to the initial email, ensure the recipient receives the video in the first follow-up.

  3. Dynamic Follow-Up for Video Viewers:

    • If a recipient watches the video but does not respond, move them to the second sub-sequence.

    • Send a dynamic follow-up email addressing their video viewing activity to prompt a response.

  4. Labeling and Sequencing:

    • Label recipients who watch the video as “waiting for response” to trigger the second sub-sequence.

    • Ensure that recipients who engage with the video are segmented for a different follow-up approach.

  5. Meeting Request:

    • In subsequent follow-up emails, ask for a meeting if the recipient responds positively.

    • The first email in the sequence is for permission to send the video; subsequent emails should also include a meeting request.

Cautionary Notes:

  • Avoid sending video links in the initial email to maintain deliverability.

  • Personalize follow-up emails based on recipient actions to improve response rates.

  • Ensure clear segmentation of recipients based on their engagement with the video for tailored follow-ups.

Tips for Efficiency:

  • Use a tool like Vina.ai for creating and sending personalized videos at scale.

  • Offer incentives like a discount code (e.g., Vina50) to encourage recipients to engage with personalized videos.

  • Monitor response rates and adjust follow-up sequences based on recipient interactions for optimal results.
